Multi-Factor Authentication (MFA) for the eSign Platform

If you hold any role as a user on the eSign platform, this document is relevant to you. MFA is an optional security layer that can be managed within your user settings to protect your account from unauthorized access.


What is MFA?

Multi-Factor Authentication (MFA) is a security verification process that requires you to provide two or more verification factors to gain access to your account. Instead of just entering a username and password, MFA adds an extra layer of defense by requiring a temporary, time-sensitive code from an authenticator app on your smartphone or device. This ensures that even if someone steals your password, they cannot access your account without your physical device.


As an eSign Platform user, am I forced to use it?

The use of MFA is generally optional for individual users. However, your organization's administrator has the authority to mandate MFA for all company users.

If your company enables this enforcement while you are currently logged in, you can continue your current session uninterrupted. However, during your very next login process, you will be required to activate MFA before you can access the platform.


How do I activate it?

There are two ways you might be prompted to set up MFA:

  • Manually via your profile: Navigate to My Settings section, Account, and then click on "Add MFA".

  • Via mandatory enforcement: If your company enforces MFA and you haven't set it up yet, you will automatically be redirected to the MFA activation screen immediately after entering your credentials during your next login.


Which Authenticator app do I need to use?

You can use any standard authenticator application that is convenient for you. Popular and fully supported options include:

  • Microsoft Authenticator

  • Google Authenticator

  • Bitwarden

  • 1Password / Apple Keychain


Can I activate MFA without scanning a QR code?

Yes. If your device does not have a working camera or you prefer not to scan the QR code, you can copy the text-based security key provided on the activation screen and paste it manually into your authenticator app to generate your setup link.


What happens if I lose my authenticator app?

  • If you still have access to your account: You can reset your connection by disabling MFA in your User Settings and then enabling it again. This will generate a fresh setup code/QR code for your new app or device.

  • If you are locked out of your account: Because you cannot log in without the MFA code, you will need to reach out to your internal portal administrator. An admin can safely reset your MFA status for you via the Users section under Company Settings, allowing you to log in and set it up again.
